Oasys: 96% of Employees Say Poor Email Management Exposes Their Company to Legal Risk

More Than a Third Say They Spend up to Two Hours or More Every Day Searching for Lost Emails; Vast Majority of Employees Admit They Have Deleted Important Emails Due to Inbox Size Limits (October 25, 2011)

NEW YORK, NY -- (Marketwire) -- 10/25/11 -- Oasys Limited, makers of high quality software products, today announced the results of their September 2011 Business Behavior & Email Management Project. In a survey of 1,237 employees across a variety of disciplines, Oasys found that a full 96% of employees believe their companies face some level of legal risk associated with poor email management, with 1 in 5 saying their company faces "High Risk."

"What most companies don't understand are the costly challenges associated with having a disorganized email system in the event of litigation," said attorney Joseph Dennis, "In some cases we've seen companies fined by regulatory agencies as much as $700,000 for not being able to produce specific emails under very tight timeframes imposed by the courts during the e-discovery process."

The survey showed that time constraints during the e-discovery process are indeed a major factor, revealing that more than a third of business professionals are losing up to two hours or more every day searching for emails that are hard to find, with employees saying they spend on average:

  • More than three hours per day - 1.8%
  • Up to three hours per day - 8.4%
  • Up to two hours per day - 34.1%
  • Up to one hour per day - 91.8%

With the volume of email set to increase, the problem is projected to get much worse. According to a report by The Radicati Group, a technology market research firm, the number of email users is estimated to rise to 1.9 billion by 2013, and many companies have still failed to implement effective solutions to handle the constantly increasing volumes.

"IT departments simply aren't prepared to handle the exploding volume of data they are seeing and often end up imposing inbox size limits on the individual users, contributing to the problem of misplaced email," said Alec Milton, CEO of Oasys Software.

Even while business professionals say they are spending an overwhelming amount of time looking for emails, an alarming 87.9%, admitted to having deleted important emails due to inbox size limits.

This risky employee behavior can be exceedingly costly. In fact, IDC estimated the cost of identifying and handling information during the e-discovery process to be as much as $12 billion and as high as $22 billion.

To help companies adapt to the challenges posed by this increasing volume of email, Oasys is educating the enterprise and small businesses on the need to implement sensible and structured solutions. Mail Manager 5.3 makes filing, finding and sharing emails a simple, integrated part of using email by:

  • Intuitively learning each user's behavior patterns to offer optimum filing locations every time an email is sent
  • Providing near-instantaneous search results of hundreds of thousands of filed emails saving countless hours and money on e-discovery
  • Storing emails in native formats to shared project locations so all correspondence is efficiently filed with relating project data and accessible to entire project teams

"The results of the Business Behavior & Email Management Project demonstrate that companies are in need of a sensible email management system," said Milton. "By prompting users to file emails as they read and create them, Mail Manager provides a simple way for emails to be structured and accessible by multiple parties in the same folders as other related documents and easily findable when the stakes are high."
